TEXAS FOUNDATION QUARTER HORSE CLUB

Minutes

The meeting was held on May 3, 2008 at Denny’s in Hempstead
William Sheppard, vice-president, called the meeting to order at @ 7:10 PM and conducted club business.

The minutes from the last meeting were discussed and Charles Boyd made a motion to accept them. Melinda Bahr seconded and the motion was passed.

We had the pleasure of welcoming two new people at our meeting that are planning on showing in July. It was nice to have Curtis and Betty Hoffman at our meeting!!

William contacted the Washington County Fairgrounds and we have a new show date of July 26th & 27th 2008. At least 10+ members were contacted to be sure that date was acceptable, and of course it was. We also have two tentative judges for the show. The hotels available are The Coach Light Inn, which will be $69. per night for NFQHA members. Their phone # is 979-836-5657. Best Western will be $89. per night, and there are a block of rooms that have a release date of June 25th…. So if you’re going to stay there, try to make reservations before that date, and let them know you’re with the Texas Foundation Quarter Horse Club! Their phone # is 979-251-7710. The Holiday Inn Express also has rooms at $94.50.

Next the cattle were discussed. A motion was made by Charles Boyd and seconded by Melinda Bahr that people who pre-enter their cattle classes will have a cattle fee of $25. per class, people who DO NOT pre-enter will be charged a cattle fee of $50. per class. This motion was passed. Another motion was made by Carrie Fitch to cut the steer daubing, breakaway roping, and specialty cutting from the classes offered at the show. The motion was seconded by Sharon Rutan, and was passed.

William will be checking with NFQHA to see about our show receiving double points if we have a regional show with Florida, Georgia, Arizona.

A new treasurer needed to be nominated, since Leah Herring must be home more to help out her mom Lisa who has been very sick. Our thoughts are with you guys and we hope to see you all soon!! Thanks for all your hard work Leah. Carrie Fitch was nominated by Sharon Rutan and seconded by Pam Crocker. The motion was passed. William made a motion for the secretary and treasurer to both have assistants of their choosing, Charles Boyd seconded and the motion was passed. The assistant treasurer is Pam Crocker and new assistant secretary is Sharon Rutan.

William passed out new “Sponsorship” forms and we discussed the incentive program set in place to encourage getting sponsorship for our shows. This new form will be on our website soon.

Pam Crocker presented some interesting information about AQHA, point earning, approved classes included in our NFQHA shows. A motion was made by Carrie Fitch and seconded by Sharon Rutan for Pam to get more information on this exciting news!! The motion was passed.

William made a motion that all officers and assistants be on the checking account so that checks can be written when the regular secretary and/or treasurer are not available, that way we can always conduct business when necessary. Melinda Bahr seconded and the motion was passed. Also, William motioned that the secretary and treasurer both get bank cards. Charles Boyd seconded and motion was passed.

Our next meeting will be June 21st, 2008 at the Denny’s in Hempstead.
